TERMS AND CONDITIONS

***From June 2025, we no longer have the facilities to offer ceiling drapes. A full refund will be issued to any couples affected by this change***

Now for the boring Bit, (!) but please take time to familiarise yourself with the terms and conditions below.

1. Booking Terms

  1. All bookings are subject to these terms and conditions. It is the client’s responsibility to read and understand them.

  2. Princess Occasions will not accept responsibility if the client fails to read or understand the terms.

  3. A £50 “Save the Date” deposit will provisionally secure your date until your showroom appointment (for 14 days). This will be deducted from the total if you proceed.

  4. We continue to take enquiries for all dates until a deposit or booking fee is received. These are non-refundable.

  5. The booking invoice constitutes a binding contract. Payment of a deposit or booking fee is deemed acceptance of the terms. No signature is required.

  6. Any questions regarding terms must be raised within 28 days of the booking date.

  7. All items remain the property of Princess Occasions at all times. Items are for hire only unless otherwise stated.

  8. Changes to invoices after booking are at the discretion of Princess Occasions and subject to availability.

  9. The client is responsible for all hired goods for the duration of hire, including any injury, death, or damage.

  10. Princess Occasions retains artistic control over styling, setup, and installation to ensure the best overall result.

  11. Date expiry – If the booking fee is not paid within the agreed timeframe, the provisional Save the Date deposit will expire, and the date may be released.

2. Payment

  1. All prices include VAT.

  2. A 50% booking fee is required to secure the booking (or 10% if using a payment plan). This is non-refundable and non-transferable.

  3. Remaining balances are due 2 months before the event. Late payment may result in cancellation.

  4. Payments are via bank transfer; PayPal only at Princess Occasions’ discretion.

  5. Charges apply for any lost or damaged items. A full list is available on request.

  6. Travel is charged at £0.50 per mile each way.

  7. Additional charges:

    • £100 for room turnaround or repurposing props from ceremony to wedding breakfast

    • Late collection (after 11pm) incurs £350 plus travel fees

  8. Minimum spend by distance from LE13 1JE:

    • Up to 50 miles – no minimum

    • 51–75 miles – £2,250

    • 76–100 miles – £2,450

    • Over 100 miles – £2,950

  9. Late payments – If any payment installment is late, a £25 admin fee will be applied. Continued non-payment may result in cancellation.

3. Payment Plans

  1. Save the Date deposit of £50 secures your date.

  2. 10% booking fee required to secure the booking, non-refundable.

  3. Remaining balance may be split into equal monthly payments, finishing 2 months prior to the event. Late or missed payments incur a £25 admin fee.

  4. All payments are non-refundable. Failure to pay the final installment on time may result in cancellation.

4. Guest Numbers & Packages

  1. Packages are based on guest number brackets, increasing in steps of 5.

  2. Brackets from 50–100 guests:

    • Up to 50

    • 51–55

    • 56–60

    • 61–65

    • 66–70

    • 71–75

    • 76–80

    • 81–85

    • 86–90

    • 91–95

    • 96–100

  3. Your final package price is based on confirmed guest numbers 2 weeks prior to the event.

  4. Reductions after confirmation do not reduce the price.

5. Cancellations & Force Majeure

  1. All deposits and booking fees are non-refundable, regardless of timing of cancellation.

  2. Princess Occasions is not liable for cancellations or losses due to force majeure, including but not limited to extreme weather, pandemics, government restrictions, floods, fire, acts of God, or supply chain delays.

  3. Rescheduling – If the client requests to move the date, deposits or booking fees may be transferred at Princess Occasions’ discretion, subject to availability.

6. Hire Items & Styling

  1. All items listed on your invoice will be provided. Clients are responsible for checking that all items are correct.

  2. Princess Occasions retains artistic licence over styling, positioning, and props to ensure the best overall look.

  3. The client is responsible for the safe use of all items, including candles and open flames.

  4. Damage or missing items will be invoiced to the client.

  5. Late collections (after 11pm) incur £350 plus travel fees.

  6. Princess Occasions may adjust pricing for new bookings or additional items added post-booking. Pricing at the time of payment is final.

  7. Audio guestbook recordings will be provided via email within 48 hours after the event.

  8. Clients are responsible for positioning the device in a quiet area away from background noise to ensure optimal recording quality.

  9. Princess Occasions cannot be held responsible for poor quality, incomplete, or missing recordings caused by environmental noise or device placement.

7. Outdoor Weddings / Weather

  • Clients must provide an alternative plan for outdoor events in case of inclement weather.

  • Princess Occasions is not liable for damage or disruption caused by weather.

8. Linens, Chair Covers & Decorations

  1. Chair covers fit standard hotel chairs; distinctive shapes may not fit perfectly.

  2. Linen is washed in non-biological detergent; slight creasing may occur.

  3. Colours may vary slightly due to lighting, photography, or availability.

9. Sweets, Donuts & BiscuitS

  1. Clients are responsible for informing guests of allergens or dietary requirements.

  2. Approx. 100g per guest; vegetarian/dietary options available on request.

  3. Children must be supervised; sweets are provided in plastic jars.

  4. Princess Occasions is not responsible for allergic reactions, choking, or injuries from sweets, donuts, or biscuits.

10. Showroom Appointment

  1. Two complimentary appointments included, ideally 8–12 weeks before your wedding.

  2. Clients are responsible for booking appointments; extra appointments are £50 per hour.

11. Insurance & Safety

  1. Public Liability insurance up to £5,000,000; certificates available on request.

  2. All electronic equipment is PAT tested; certificates available on request.

  3. Princess Occasions cannot be held liable for injury, death, or accidents during the hire period.

  4. Clients must comply with venue health & safety regulations during the hire period.

12. Photography / Media

  • Princess Occasions may take photographs or videos during the event for marketing purposes. Private images will not be shared without consent.

13. Third-Party Suppliers

  • Princess Occasions is not responsible for the actions, omissions, or performance of any third-party suppliers.

14. Damage / Liability Limit

  • Liability for loss or damage, direct or indirect, is limited to the total amount paid by the client for services booked.

15. Intellectual Property

  • All styling, designs, signage, and creative materials remain the property of Princess Occasions. Clients may not reproduce or distribute designs without written permission.

16. Governing Law / Jurisdiction

  • This agreement is governed by the laws of England and Wales.

  • Any disputes are subject to the exclusive jurisdiction of the English courts.

17. Data Protection

  • Client information will be stored and used in compliance with UK GDPR for service delivery. Data will not be shared without consent.
